Man and Van Hammersmith Health and Safety Policy
This Health and Safety Policy sets out how Man and Van Hammersmith manages the safety and welfare of our workers, customers and members of the public during all removal, delivery and transport activities. Our aim is to prevent injury, ill health and damage to property while providing efficient and reliable moving services.
Policy Statement
Man and Van Hammersmith is committed to maintaining a safe and healthy working environment. We will identify and control risks associated with lifting, loading, driving and working in and around customers homes, offices and storage locations. Health and safety is an integral part of our planning and day-to-day operations, not an add-on.
Responsibilities
Overall responsibility for health and safety rests with the company management, who will ensure that suitable resources, information and training are provided. Supervisors and team leaders are responsible for implementing safe systems of work on site and for ensuring that team members follow all safety procedures.
Every worker, including drivers, porters and temporary staff, has a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. All staff must co-operate with management in implementing this policy and must report hazards, accidents, near-misses and unsafe conditions immediately.
Risk Assessment and Safe Working Practices
We will carry out and regularly review risk assessments for typical removal and transport tasks, including packing, loading, unloading, carrying items, navigating stairs, and operating in shared areas such as pavements, corridors and car parks. Where specific jobs present unusual risks, a job-specific risk assessment will be completed before work begins.
Safe systems of work and method statements will be developed and communicated to staff. These cover, for example, the safe handling of heavy or awkward items, the use of moving equipment, vehicle positioning, and working in confined or cluttered spaces.
Manual Handling and Lifting
Manual handling is a core element of our activity, so we place particular emphasis on lifting safety. Staff receive training in correct lifting techniques, team lifting, and the use of trolleys, dollies, straps and other handling aids. Tasks will be planned to avoid unnecessary lifting and to break down loads wherever possible.
Workers are instructed not to attempt to carry loads that are too heavy or unstable to handle safely and to request additional assistance or equipment when required. Special care is taken when carrying items up and down stairs, through narrow doorways and in communal areas to protect both people and property.
Vehicles and Driving Safety
Our vehicles are maintained in a roadworthy condition in line with legal requirements and manufacturer guidance. Regular safety checks are carried out on brakes, tyres, lights, restraints and loading equipment. Defects must be reported immediately and vehicles taken out of service if they are not safe to operate.
Drivers must hold a valid licence for the vehicles they operate and are responsible for safe driving and compliance with road traffic laws. They must not drive under the influence of alcohol, drugs or any medication that may impair performance. Drivers are expected to plan journeys to allow adequate time, avoiding excessive hours and fatigue.
Loads must be evenly distributed and properly secured using appropriate restraints. Vehicles must not be overloaded and items must not obstruct mirrors, lights or exits.
Customer Premises and Public Safety
When working at customer properties or shared premises, our staff will take reasonable steps to protect residents, neighbours and the public. This includes keeping walkways clear where possible, using warning signs or verbal warnings when moving large items, and avoiding leaving tools or equipment where they may cause trips or falls.
We aim to minimise disturbance and respect house rules or building management requirements as long as they do not compromise safety. Where access routes are restricted or hazardous, staff will assess the situation and may adjust the method of work or refuse to proceed until safe arrangements can be agreed.
Equipment and Personal Protective Equipment
All equipment used for removals, such as sack trucks, ramps, straps and protective covers, will be suitable for the intended task and maintained in good condition. Defective or damaged equipment must not be used and must be reported for repair or replacement.
Where necessary, staff will be provided with appropriate personal protective equipment such as gloves, high-visibility clothing and protective footwear. Workers must use this equipment as instructed and keep it in good order.
Hazardous Items and Restricted Materials
Man and Van Hammersmith does not transport certain hazardous or prohibited items, including but not limited to flammable liquids, gas cylinders, explosives, illegal substances and items presenting a serious contamination or infection risk. Customers are informed in advance of these restrictions and are responsible for declaring any items that may require special handling.
Where items present a manageable risk, such as sharp tools or small quantities of cleaning chemicals, they must be appropriately packaged and secured before loading.
Training, Information and Supervision
All staff receive induction on our health and safety arrangements before undertaking work. This includes information on manual handling, vehicle safety, accident and incident reporting, emergency arrangements and customer care. Ongoing training and refresher sessions are provided as needed.
New or inexperienced workers are supervised closely until they are competent to work more independently. Supervisors are responsible for monitoring safe practices on site and addressing unsafe behaviour promptly.
Accidents, Incidents and First Aid
All accidents, injuries, near-misses and damage to property must be reported to management as soon as possible, regardless of severity. We maintain appropriate records and investigate incidents to identify root causes and prevent recurrence.
Vehicles and teams will have access to basic first aid supplies that are suitable for minor injuries typical of removal work. In the event of serious injury or illness, emergency services will be contacted immediately and work will be stopped if necessary.
Health, Wellbeing and Fitness for Work
We recognise that removal work can be physically demanding. Staff are expected to attend work in a fit state, free from the effects of alcohol or illegal drugs, and to inform management of any medical conditions or injuries that may affect their ability to work safely.
Where appropriate, tasks will be adjusted or assistance provided to help protect the long-term health of workers, including their backs, joints and general fitness.
Consultation and Continuous Improvement
We encourage open communication on health and safety matters. Workers are invited to raise concerns, suggest improvements and report hazards without fear of reprisal. Management will review this policy regularly and update it to reflect changes in legislation, industry best practice and operational experience.
By working together and following this Health and Safety Policy, Man and Van Hammersmith aims to provide a safe, reliable and professional removal and transport service for all our customers.
